In the course of using our Team Tool, we collect the following personal data:

• Account data: Email address, name, timezone, avatar image (optional)
• Usage data: Poll votes, messages, attendance records, warnings (as recorded by the team)
• Technical data: Browser type, IP address (temporarily during server requests)
• Push notification tokens: Only if you enable browser notifications

3. Discord OAuth

We offer the option to sign in via Discord or link your Discord account. When linking, we receive the following from Discord:

• Discord User ID
• Discord username (temporarily for display purposes)

This data is used exclusively for identification and cross-platform features (e.g., polls). We do not access your Discord messages, friend lists, or server memberships.

4. Purpose and Legal Basis of Processing

We process your data on the basis of Art. 6(1)(b) GDPR (performance of a contract) and Art. 6(1)(f) GDPR (legitimate interest) for the following purposes:

• Provision and management of your account
• Team organisation (training times, attendance)
• Internal team communication
• Push notifications (only if enabled)
• Discord integration for polls and announcements

5. Storage and Security

Your data is stored with Supabase (cloud database with EU-based servers). We implement technical and organisational measures to protect your data from unauthorized access, loss, or manipulation, including:

• Encrypted data transmission (TLS/SSL)
• Row-level security in the database
• Password-protected accounts

6. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected or as required by applicable German and EU law. If you leave the team, your data will be deleted within a reasonable period unless statutory retention obligations require otherwise.

7. Data Sharing

We do not share your personal data with third parties except:

• Where required by law
• Where you have given explicit consent
• Where necessary for the provision of the service (e.g., Supabase as hosting provider)

8. Your Rights

Under the GDPR, you have the right to access, rectification, erasure, restriction of processing, data portability, and to object to processing. You also have the right to lodge a complaint with a supervisory authority (in Germany: the Federal Commissioner for Data Protection and Information Freedom).
